A useful sourcing brief combines the item or outcome you have in mind with your timing, preferences and total spending limit. If you are still deciding, explain the occasion and what matters most to you.

Five details to start with

  • The idea: an exact item, an occasion or a recipient’s taste.

  • The essentials: size, colour, brand and acceptable alternatives.

  • The budget: your maximum, and what it must cover.

  • The finish: wrapping, engraving or a personal message.

  • The handover: the date, destination and recipient.

Tell us what matters

For a specific purchase, send the product name or link and any reference number. For a gift, describe the occasion, the recipient’s preferences and the impression you want to make.

If you are unsure, a few examples of things they have enjoyed can help. Tell us whether the exact item is essential or alternatives are welcome. We check retailer availability; a shortlist is not secured stock.

Set a budget for the whole request

Make clear whether your maximum covers the items alone or everything involved. Depending on your brief, allow for:

  • The purchase price.

  • Personalisation and gift wrapping.

  • Our service or sourcing fee.

  • Collection, delivery and agreed expenses.

Your maximum is a spending limit, not an automatic charge.

We set out the costs before money is committed. Purchases and additional costs require approval; any agreed advance is reconciled against actual spending.

Consider the finishing touches

Share exact engraving or message wording and your wrapping preferences. Check names and spelling before approval. Personalisation depends on availability and lead times; any restrictions on changes or returns should be confirmed before purchase.

Let us know if the gift must travel, fit inside luggage or be accepted by an authorised hotel concierge. Share only the recipient details needed for the arrangement.
